Heed helps you reach employees instantly and reliably, on their desktop, mobile, inbox, or through visual updates like wallpapers and lock screens. Below is a clear overview of how Heed works and how your organisation can use it.

Users & Roles

Users

Every employee who uses Heed has a user account. They can sign in from any device, desktop, mobile, or browser and receive the content you publish.

Roles

Roles determine what each user can access:

  • User – Receives content and interacts with alerts.

  • Manager – Can publish content, manage groups, and use workflows.

  • Admin – Full control over system configuration, permissions, and settings.

You can also create custom roles tailored to your organisation.

Groups

Groups are collections of employees you send content to.
You can create groups for departments, projects, locations, or any other structure your organisation relies on.

Groups help you:

  • Target content to the right employees

  • Reduce unnecessary alerts

  • Keep communication organised and efficient

All groups can be managed in the Group Browser, where you can edit members, review subscriptions, and control notification preferences.

Content

What is Content?

Content refers to anything you publish or deliver through Heed. This includes both alerts and visual updates, such as:

  • Desktop alerts

  • Mobile push notifications

  • Email updates

  • SMS alerts

  • Newsletters

  • Wallpapers

  • Lock screens

  • Screensavers

Content States

Content progresses through clear stages:

  • Active – New or awaiting attention.

  • Dismissed – Read or actioned by the employee.

  • Archived – Stored for reference and no longer active.

Key Features

Each piece of content can be customised with:

  • Expiry times – Automatically escalate, archive, or dismiss after a set period.

  • Recurrence – Re-show content if it hasn’t been actioned.

  • Colour indicators – Highlight urgency or priority.

  • Action buttons – Capture quick responses such as acknowledgements or choices.

Delivery Options

Content can be delivered through:

  • Desktop notifications

  • Mobile push notifications

  • Email

  • SMS

  • Visual updates (wallpapers, lock screens, screensavers)

Heed Desktop Client

The Heed Client for Windows and Mac ensures reliable, instant delivery of desktop content.

With the client installed, employees can:

  • receive desktop alerts

  • see updated wallpapers, lock screens, or screensavers (where supported)

  • access the Heed portal quickly

  • continue receiving content even when offline

IT teams can deploy the client across the organisation using standard enterprise tools.

Workflows

Workflows automate communication and integrate Heed with your existing platforms.

A workflow starts with a trigger, such as:

  • An update in ServiceNow

  • A scheduled time

  • An employee response

  • An inbound email

  • An HTTP request

It then performs one or more actions automatically.

Workflow Capabilities

Workflows can:

  • Publish or update content

  • Escalate important alerts

  • Send HTTP requests to other systems

  • Look up users, groups, or content

  • Run custom scripts

  • Integrate with systems like ServiceNow, Jira, SAP Concur, Splunk, and HR platforms

Workflows reduce manual effort, speed up communication, and ensure important processes run smoothly.
